Checking In Plus Ones

Many events allow guests to bring a companion - a spouse, a friend, or a colleague. Check-in Pax handles plus-ones directly from the primary guest's profile.

How plus-ones work:

A plus-one is linked to a primary guest. When you check in the primary guest, you have the option to also check in their plus-one(s). Each plus-one's check-in time is tracked separately

How to check in a plus-one:

  1. Find the primary guest. Search for the primary guest's name in your guest list.
  2. Open their profile. Tap on the primary guest's name to view their details.
  3. Check the plus-one indicator. The Check In button will display "Check-in 0/2," and the profile will show a field labeled "Plus Ones: 1" (or more, depending on how many plus-ones are linked).
  4. Check in together. If the primary guest and their plus-one arrive together:
    • Tap the Check In button once to check in the main guest. The button now shows "1/2."
    • Tap the Check In button again to check in the plus-one. The button now shows "2/2."
  5. Confirmation. Once both are checked in, the button can no longer be pressed. The check-in is complete.
  6. Verify in the timeline. Scroll to the bottom of the guest profile. The timeline will show two separate check-in timestamps - one for the main guest and one for the plus-one.


What happens after check-in:

  • Each plus-one gets their own check-in record (time, device name, etc.).
  • In your reports, the Total Guests Checked In count will reflect every individual who has been checked in—including plus-ones. For example, checking in one primary guest with one plus-one will increase the total count by 2.
  • The total checked-in count on the iPads and in check-in statistics includes plus-ones.

Important notes:

  • Plus-ones do not receive separate QR codes or email invitations (unless manually added as individual guests).
  • Plus-ones do not receive a printed name badge. If you need name badges for companions, create each guest as a separate record instead of linking them as plus-ones.
  • If a plus-one arrives separately from the primary guest, you can check them in by searching for the primary guest's name and checking in by pressing the check-in button again.
  • You cannot move a plus-one to a different guest list. A plus-one is an additional (usually unnamed) guest that exists only in relation to the main guest. To have a plus-one in a different guest list, you would need to create them as a separate, standalone guest record instead.

Pro tip: Before the event, decide how you want to handle plus-ones. If you expect many separate arrivals, consider adding plus-ones as individual guests instead of linked profiles. If most plus-ones arrive with the primary guest and you do not need to collect their names, the linked plus one approach works beautifully.
