Assigning a Guest to a Table
Use the dropdown to add guests to tables – or assign them in bulk using Excel.
There are three ways to assign guests to tables.
Before you start: Make sure you have already created your tables in Event Setup. Guests can only be assigned to tables that exist in your event.
Method 1: Assign Individually from Guest List
- Go to your Guest lists
- Add a new guest you want to assign
- Under the Table field dropdown, select the table name
- Click Save
- The guest will now appear under that table in your Tables view.
Note: If the table has a seat limit (e.g., 10 seats), you cannot assign more guests than available seats.
Method 2: Move Guests Between Tables (Drag & Drop / Dropdown)
- On your guest list or in the Check-in App open your guest list
- Locate the guest you want to move and edit the guest
- Click the Table dropdown next to their name
- Select the new destination table
- The guest is instantly moved - no data loss, no re-entry
Pro tip: Use the dropdown method for last-minute changes requested by guests or event hosts.
Method 3: Bulk Assign via Excel
For large guest lists, you can assign tables in bulk:
- Export your guest list as an Excel file.
- Add the Table column and fill in the table name for each guest.
- Import the file back into Check-in Pax.
Important: Table names must match exactly what you created in Event Setup.
Troubleshooting
No tables appear in the dropdown? You haven't created any tables yet. Go to Event Setup > Tables to add them.
Table is full? The seat limit has been reached. Either increase the limit or assign the guest to a different table.
