Viewing Tables in the Check-in App
This is where the feature truly shines on event day.
Accessing Tables in the App
- Open the Check-in Pax mobile/tablet app
- Select your event
- Open a guest list and click on the Tables icon (top right corner)
Two View Modes
Collapsed View
- Shows all tables as cards
- Each card displays:
- Table name
- Total seats (e.g., 12)
- Checked-in count (e.g., 8/12)
- Empty seats (e.g., 4)
- Perfect for a high-level overview of venue occupancy
Expanded View (Default)
- Tap any table card to expand all
- Shows the full list of guest names at that table
- Each guest shows check-in status (Checked in / Not checked in)
- Tap a guest to open profile and check them in directly from the table view
How to Check In Guests by Table
Option A: From Expanded Table View
- Tap the table to expand it
- Search or Scroll to find the guest
- Tap a guest and on the check-in button
Option B: Search via the Guest list, Then Check In
- Use the Search bar in the app
- Type the guest's name
- The app shows matching results
- Tap the guest to check them in
Understanding Table Status Icons
| Icon / Indicator | Meaning |
Check-in tick with italic guest names | Guest checked in |
Black on white guest names | Guest not checked in |
"5 Empty Seats" text | 5 available seats at this table |
"12/12" | Table is full (all seats occupied or checked in) |
Pro Tips for Check-in Staff
- Use Collapsed View during rush periods - see occupancy and check-ins per table across the whole room at a glance
- Use Search for VIPs - find any guest instantly without scanning tables
- Move guests on the fly - tap a guest, use the Table dropdown to reassign them to a different table
- Spot empty seats for walk-ins - look for tables showing "3 empty" or "5 empty" and direct guests there
