Generating Badges in Bulk
Bulk badge generation allows you to create a single PDF containing badges for multiple guests at once. This is perfect for previewing all labels before your event, spotting any issues, or pre-printing badges from your laptop or computer.
When to use bulk badge generation
| Scenario | Why it's useful |
|---|---|
Preview before the event | See how all badges will look before guests arrive |
Spot issues | Identify long names, awkward characters, or messed up data fields |
Share with your team | Save and share the PDF so everyone knows what badges will look like |
Pre-print badges | Connect a printer to your laptop or computer and print all badges in advance |
How to generate badges in bulk
- Go to your event's Guest List page in event management in your wbe browser.
- Select the guests you want to generate badges for by checking the boxes in front of their names.
- Check the box at the top to select all guests. (Tip: you can use the filter to select guests by status, for example: confirmed)
- Check individual boxes to select specific guests.
- Click the More button at the top of the guest list.
- Select Generate Badges from the dropdown menu.
- The system will generate a single PDF containing badges for all selected guests.
- Each badge uses the currently assigned badge template for that guest.
What happens after generation
- A PDF file is created and opened in a new browser tab.
- Each page of the PDF contains one badge.
- Badges are generated in the order that guests were added to your guest list (oldest first).
What to do with the PDF
| Action | How to use it |
|---|---|
Preview | Open the PDF on your screen to review all badges at once |
Share | Save the PDF and share it with your team via email or messaging |
Pre-print | Connect a printer to your laptop or computer and print the PDF |
Save as reference | Keep the PDF for record-keeping or event documentation |
Why preview before the event
Bulk generation is an excellent quality check. Before guests arrive, you can:
- Spot long names that may not fit on the badge
- Find awkward characters (e.g., special symbols or emojis)
- Identify messed up data fields (e.g., missing names or incorrect formatting)
- Verify QR codes are generating correctly
Pro tip: Generate badges for all guests a few days before your event. This gives you time to fix any data issues before printing on the day.
Pre-printing badges via laptop or computer
If you want to print all badges in advance (instead of printing on demand during check-in):
- Generate the bulk PDF as described above.
- Connect your Brother printer to your laptop or computer (not the iPad).
- Open the PDF and print normally.
This is useful for:
- Events where you want badges ready before guests arrive
- Situations where you don't have an on-site printer
- Creating backup copies of badges
Note: When you open app.checkinpax.com on your iPad (or use the Check-in App), you also have the option to bulk print badges in your settings. However, this method only allows you to print an entire guest list at once. It is designed for quickly printing a dedicated list onsite — such as a speakers list or sponsors list — without having to select individual guests.
Important notes
- Bulk generation uses the currently assigned badge template for each guest. If you change the template after generating, you will need to generate again.
- The PDF includes badges only for selected guests. If you need badges for all guests, select all before generating.
- Bulk generation does not mark guests as checked in. It only creates the PDF.
