Moving a Guest (to Another Guest List)
Sometimes a guest arrives and needs to be moved from one guest list to another - for example, an upgrade from General Admission to VIP, or a speaker who was accidentally added to the wrong list. The Check-in App lets you move guests between guest lists instantly.
Why move a guest?
- A general admission guest purchases a VIP upgrade onsite.
- A guest was accidentally added to the wrong list during import.
- A walk-in needs to be moved to a different list for tracking purposes.
- You want to reorganize guests on the fly based on event flow.
How to move a guest:
- Find the guest in your guest list using the search bar.
- Tap on the guest's name to open their profile.
- Tap the white Edit button (top right corner of the guest profile).
- Select the destination guest list from the dropdown menu.
- Save the profile.
What happens after moving:
- The guest is removed from the original guest list.
- The guest appears in the destination guest list on all devices (thanks to real-time sync).
- The guest's check-in status, custom fields, and other data remain unchanged.
- The move is recorded in your reports (Last Modified By and Last Modified Date).
Important notes:
- Moving a guest does not affect their check-in status. If they were already checked in, they remain checked in.
- If you move a guest by mistake, you can simply move them back to the original list.
- Guests can only belong to one guest list at a time.
Example scenario:
| Before move | Action | After move |
|---|---|---|
Guest list: General Admission | Guest upgrades to VIP at the door | Guest list: VIP |
Status: Confirmed | → | Status: Confirmed (unchanged) |
Meal preference: Chicken | → | Meal preference: Chicken (unchanged) |
Pro tip: Communicate with your check-in team about when moves are allowed. For example, you might require manager approval before moving a guest to the VIP list.
