Scanning QR Codes
The Check-in App includes a powerful QR code scanner that turns your iPad, tablets, or phones into a fast, touch-free check-in device. Guests can present their QR code on their phone (from an email, link or ticket) or on a printed name badge, and your team can scan it to find, check in, or track them in seconds.
Where to find the scan button
Open the Check-in App and select your event. Click on All Guests or any of your created guest lists. On the guest list screen, look for the Scan icon in the lower right corner. Tap it to activate the scanner.
First-time use: The app will ask for permission to access your camera. Tap Allow to enable scanning.
How to scan
Once the scanner is open, simply hover your device's camera over a QR code. The app will detect it automatically — no need to press a shutter button.
When a QR code is detected, the app's behavior depends on which scanning mode you have selected.
Scanning Modes
Check-in Pax offers three scanning modes. You can switch between them in the scanner settings.
Scan & Find
This mode brings up the guest profile associated with the QR code. You will see all guest details, including:
- Name and company
- Current status (Confirmed, Checked In, etc.)
- Check-in history and timeline
- Custom fields (meal preference, table number, T-shirt size size, etc.)
What you can do next: Review the guest's information, manually check them in if needed, or simply close the profile. After completing your review, press Scan Again to scan the next QR code.
Best for: VIP check-in, manual verification, or when you need to see guest details before taking action.
Scan & Check-In
This mode is designed for speed. When you scan a QR code, a pop-up appears showing the guest's name, company, and any notification field content. The guest is checked in immediately — no need to press an additional button.
What happens next: The pop-up closes automatically after a few seconds or close it manually, and you can scan the next guest right away. This creates a fast, continuous flow for busy entrances.
Special case – Already checked in: If a guest's QR code has already been scanned, a different pop-up appears, informing your staff that the guest has already been checked in. To investigate further, click the Guest Details button to open the full profile.
Best for: High-volume events, straightforward check-ins, and fast-moving lines.
Scan & Track
This is a special feature for tracking guests by scanning QR codes - either from their phones or from printed name badges. Each time a guest's QR code is scanned, the app adds a timestamp to their timeline.
Use cases for Scan & Track:
- Tracking attendance at specific sub-events or sessions
- Checking guests out when they leave
- Counting how many times a guest visits a particular area (e.g., bar, photo booth, after-party)
- Simple guest counters without changing check-in status
Pro Tip: Use the Device Naming feature to give your current device a name (e.g., "Bar Scanner" or "Session A Entrance"). This name will appear in your reports and lets you know at which location or activity the scan was performed.
Best for: Straightforward session tracking, exit counts, activity monitoring, and any scenario where you want timestamps without altering check-in status.
