Printing Badges in the Check-in App

Print a badge for any guest with one tap – or turn on Autoprint to print automatically when you check someone in.

Once you have set up your printer and designed your badge templates, printing badges during check-in is quick and straightforward. Your team can print a badge for each guest as they arrive, or re-print a badge if needed.


Before you start – quick checklist

  • Printer is connected to the same Wi-Fi network as your iPad
  • Printer has paper loaded and is turned on
  • Check-in App is logged in and your event is selected
  • A badge template has been created and assigned (default template works for most guests)

How to print a badge for a guest

  1. Open the Check-in App and select your event.
  2. Find the guest you want to print for (use search or scroll through the guest list).
  3. Tap on the guest's name to open their profile.
  4. Tap the 🖨️ Print button.
  5. The badge will print immediately using the guest's assigned badge template.

Autoprint – save a click

You can enable Autoprint to have badges print automatically when you check in a guest – no need to press the Print Badge button separately.

How to enable Autoprint

  1. Open the Check-in App and select your event.
  2. Tap the settings icon (☰) in the lower left corner.
  3. Toggle Autoprint to ON.

💡 Pro tip: Autoprint + Scan & Check-In is the fastest possible workflow. Just scan the guest's QR code, and everything happens automatically: check-in, badge printing, and real-time sync.

How to disable Autoprint

Follow the same steps and toggle Autoprint to OFF. You will then need to press Print Badge manually after check-in.


What happens after printing

  • The badge prints using the assigned badge template for that guest.
  • If no specific template is assigned, the default badge template is used.
  • The print action does not check the guest in (unless Autoprint is enabled). Check-in and printing are separate actions by default.

Printing for multiple guests (bulk print)

You can also print badges for an entire guest list at once directly from the Check-in App.

  1. Open the Check-in App and select your event.
  2. Tap the settings icon (☰) in the lower left corner.
  3. Select Bulk Badge Printing.
  4. Choose the guest list you want to print.
  5. Confirm to print all badges for that list.

Note: Bulk print is designed for quickly printing a dedicated list onsite, such as a speakers list or sponsors list. It prints the entire guest list – you cannot select individual guests in bulk from the app.


Re-printing a badge

If a badge is lost, damaged, or needs to be updated:

  1. Open the guest's profile (same as printing for the first time).
  2. Tap 🖨️ Print Badge again.
  3. A new badge will print with the guest's current data and template.

There is no limit to how many times you can re-print a badge for the same guest.


Troubleshooting

Print button does nothing

Check that the printer is on and connected to the same Wi-Fi as your iPad. Go to Printer Setup to verify connection.

Autoprint not working

Check that Autoprint is toggled ON in the settings menu (☰).

Alert appears when printing (e.g., printer disconnected, invalid badge template)

Pro tips

  • Print a test badge before guests arrive. Use a test guest to verify everything works.
  • Use Autoprint + Scan & Check-In for speed. This is the fastest workflow – one scan checks in the guest and prints the badge automatically.
  • Print on demand. Most events print badges as guests check in. This avoids wasted labels and ensures badges are always up to date.
  • Keep spare paper rolls nearby. Running out of paper during check-in slows everything down.
  • Assign templates in advance. Make sure VIPs, speakers, or other special groups have their templates assigned before the event starts.
