Creating RSVP Forms

RSVP forms allow you to collect guest responses, registrations, and custom information directly from your attendees. Whether you need a simple confirmation form or a detailed registration page with multiple fields, Check-in Pax makes it easy.

What is an RSVP form?

An RSVP form is a web page where guests can:

  • Confirm or decline their attendance
  • Provide additional information (meal preferences, T-shirt sizes, etc.)
  • Update their guest profile

When a guest submits the form, their guest status is automatically updated (e.g., from "Unconfirmed" to "Confirmed"), and you can send an automated confirmation email with their QR code.


How to create a new RSVP form

  1. Go to Manage TemplatesRSVP Forms.
  2. Click Create New Form.
  3. Enter a Form Name (e.g., "Annual Conference Registration" or "Product Launch RSVP").
  4. Select Public or Private access:
    • Public – Anyone with the link can access and submit the form
    • Private – Only guests who are on your guest list can access (see Using private RSVP form links)
  5. Choose a Guest List that the form is linked to.
    • New responses will be added to this list.
    • Note: You can only link one guest list to a public form.
  6. Customize the form URL if available:
    • Your form will be available at rsvp-me.to/your-custom-slug
    • Enter your preferred slug (e.g., annual-conference-2030)
    • If the slug is already taken, choose another one
  7. Click Create.

Your new form is now created and ready to be designed.

  • Choose a memorable slug. Use something easy to remember and type, like company-annual-conference-2030.
  • Test your form. Submit a test response to see what guests experience.
  • Link the form to the correct guest list. All responses will be stored in this list.
