Archiving and Deleting RSVP Forms
Archive vs. Delete
| Action | What it does | Can you recover? |
|---|---|---|
Archive | Moves the form out of your active list. It is hidden but not permanently removed. | ✅ Yes – you can cooy an archived form to bring it back at any time |
Delete | Permanently removes the form from your event. | ❌ No – it is gone forever |
Recommendation: When in doubt, archive instead of delete. You can always delete later.
When to archive
- You no longer use a form but might need it for a future event
- You want to reduce clutter in your active form list
When to delete
- The form was a test and you are sure you will never need it
- You have an updated version and the old one is completely obsolete
- The form was created by mistake
How to archive a form
- Go to Manage Templates → RSVP Forms.
- Find the form you want to archive.
- Click the Archive button (the folder icon).
- Confirm archiving.
The form will disappear from your active list. It is now in your archived forms.
Important: Archived forms cannot be accessed by guests so make sure you are archiving any live forms.
How to view archived forms
Click on the Archived button on the form overview page in the top right. Your archived forms appear on the bottom of the list.
How to unarchive a form
- Click the Archived button to show your archived forms at the bottom.
- Find the form you want to restore.
- Click the copy icon to bring back an editable version.
- The form will reappear in your active list with all its settings and design intact.
How to delete a form
Warning: Deletion is permanent. There is no undo.
- Go to Manage Templates → RSVP Forms.
- Find the form you want to delete.
- Click the Delete button under your archived forms (the trash can icon).
- Confirm that you want to permanently delete the form.
The form is removed immediately and cannot be recovered. Please note that you can only delete archived forms.
Important notes
- You cannot delete a form that has responses. Archive it instead, or delete the responses first (if absolutely necessary).
- Archived forms do not count toward any form limit (if you have one).
- Deleting a form does not affect guest data. Responses already submitted remain in your guest list.
- Deleting a form does not affect automated emails. If the form was linked to an automation, you should deactivate that automation separately.
Pro tips
- Archive after each event. Move forms from past events to archives to keep your active list focused on upcoming events.
- Use descriptive names. "2024 Annual Conference Registration" is easier to find in archives than "Form 3."
- Delete test forms immediately. Create them, test them, then delete them to avoid clutter.
- Review your archived forms once a year. Delete the ones you are sure you will never need again.
