Using Your Own Email Sender Domain

Send emails from @yourcompany.com instead of our shared domain – better branding and better deliverability.

By default, Check-in Pax sends emails from our shared sender address: no-reply@eventconfirmations.com. This works perfectly fine for most events.

However, for a more professional look—and to improve email deliverability—you can verify and use your own custom domain. This means your guests will see emails coming from an address like hello@yourcompany.com instead of our shared domain.

Why use your own domain?

BenefitExplanation

Professional branding

Emails look like they come directly from your organization, not a third party

Better deliverability

Verified domains are less likely to be marked as spam

Guest trust

Guests are more likely to open emails from a domain they recognize

Consistent sender

All your event communication comes from the same place

How it works

When you verify your own domain, you are telling email providers (Gmail, Outlook, etc.) that Check-in Pax is authorized to send emails on behalf of your domain. This is done through DNS records.

Note: You will need access to your domain's DNS settings (usually through your domain registrar or web hosting provider). If you are not comfortable with DNS changes, ask your IT team or web developer for help.

Step-by-step setup

Step 1: Add your domain

  1. Log into your Check-in Pax account.
  2. Go to Account Settings → Domains.
  3. Click Add Domain or Verify New Domain.
  4. Enter the domain you want to use (e.g., yourcompany.com or events.yourcompany.com).
  5. Click Add Domain.

Step 2: Add DNS records

Check-in Pax will provide you with two TXT records to add to your domain's DNS settings.

Example of the two records:

TypeNameValue

TXT

mail._domainkey

k=rsa;p=MIGfMA0GCSqGSIb3DQEBAQUAA4GNADCBiQKBgQDeMVIzrCa3T14JsNY0IRv5/2V1/v2itlviLQBwXsa7shBD6TrBkswsFUToPyMRWC9tbR/5ey0nRBH0ZVxp+lsmTxid2Y2z+FApQ6ra2VsXfbJP3HE6wAO0YTVEJt1TmeczhEd2Jiz/fcabIISgXEdSpTYJhb0ct0VJRxcg4c8c7wIDAQAB

TXT

@

brevo-code:f7b2fa530cf6932d9086d5498db09e21

Note: The exact values will be shown in your Check-in Pax account. Follow those instructions exactly. The second record is a Brevo code used for email authentication.

DNS provider tips:

  • Some domain providers do not support @ in the Name field. In that case, try entering your domain name (e.g., yourcompany.com) or leave the field blank.
  • Copy the values exactly as shown, including the full string of characters.

Step 3: Wait for verification

After adding the DNS records, return to Check-in Pax. The system will check for the records.

  • When the records are detected correctly, they will turn green.
  • This may take a few minutes to 48 hours (usually below 1 hour).

Step 4: Add and verify your email address

Once your domain is verified (DNS records are marked green), you can add a specific email address:

  1. In the same Domains section, click Add Email Address.
  2. Enter the email address you want to use before your domain. (e.g., hello@yourcompany.com or events@yourcompany.com).
  3. Check your inbox for a verification email.
  4. Click the verification link in the email.

Step 5: Use your verified email address in templates

Once the email address is verified, it will automatically appear in the sender email address dropdown for every email template.

  1. Go to Manage Templates → Emails.
  2. Create a new template or edit an existing one.
  3. In the sender email address dropdown, select your verified email address.
  4. Save your template.

Important: You cannot select the email address in your template until the domain is completely verified and the email address has been confirmed by clicking the verification link.

Important notes

  • Domain verification first, then email verification. You cannot add an email address until the domain DNS records are green.
  • You only need to verify a domain once. After verification, you can add multiple email addresses for that domain.
  • Each email address needs separate verification. You will receive a verification email for each address you add.
  • Verified email addresses appear in all templates. Once verified, the address is available globally across all your events and templates.
  • Shared domain still works. You can switch between your custom email address and the default no-reply@eventconfirmations.com at any time.

Example: Setting up events.acme.com

Step 1: In Check-in Pax, go to Settings → Domains and add domain events.acme.com

Step 2: Add DNS records:

TypeNameValue

TXT

mail._domainkey

k=rsa;p=MIGfMA0GCSqGSIb3DQEBAQUAA4GNADCBiQ...

TXT

@

brevo-code:f7b2fa530cf6932d9086d5498db09e21

Step 3: Wait for records to turn green (1-2 hours)

Step 4: Add email address hello@events.acme.com and click verification link

Step 5: In email template, select hello@events.acme.com from the dropdown

Result: Guests see emails from hello@events.acme.com

Troubleshooting checklist

If your custom email address is not working:

  • Have you added both DNS records?
  • Are the DNS records showing as green in Check-in Pax?
  • Have you added the email address after domain verification?
  • Have you clicked the verification link sent to that email address?
  • Have you waited for the verification to complete?
  • Have you selected the verified email address in your email template?
  • Did you save the template after selecting the email address?
