Archiving and deleting email templates
Over time, your template list can become cluttered with old invitations, outdated designs, or test templates you no longer need. Archiving and deleting help you keep your template library clean and organized.
Archive vs. Delete
| Action | What it does | Can you recover? |
|---|---|---|
Archive | Moves the template out of your active list. It is hidden but not permanently removed. | ✅ Yes – you can copy an archived template to bring it back again |
Delete | Permanently removes the template from your account. | ❌ No – it is gone forever |
Recommendation: When in doubt, archive instead of delete. You can always delete later.
When to archive
- You no longer use a template but might need it in the future
- The template is for a past event but you want to keep it as a reference
- You want to reduce clutter in your active template list
When to delete
- The template was a test and you are sure you will never need it
- You have an updated version and the old one is completely obsolete
- The template was created by mistake
How to archive a template
- Go to Manage Templates → Emails.
- Find the template you want to archive.
- Click the Archive icon on the very right.
- Confirm archiving.
The template will disappear from your active list. It is now in your archived templates.
How to view archived templates
Look for an Archived button in the top right. Click it to see all your archived templates.
How to unarchive a template
- Go to the Archived view.
- Find the template you want to restore.
- Click the Copy icon or Restore.
- The template will reappear in your active list as a draft template.
How to delete a template
Warning: Deletion is permanent. There is no undo.
- Go to Manage Templates → Emails.
- Find the template you want to delete under Archived email templates.
- Click the Delete button (the trash can icon).
- Confirm that you want to permanently delete the template.
The template is removed immediately and cannot be recovered.
Note: Only archived templates can be deleted.
Important notes
- You cannot delete an active template that is scheduled. Cancel the schedule first, then archive it and delete it.
- Deleting a template does not affect emails already sent. Guests who already received the email will not be affected.
- If your email templage over view page takes longer to load, consider archiving and deleting unsued and old templates.
Pro tips
- Use descriptive names. "2030 Gala Invitation" is easier to find in archives than "Template 3."
- Delete test templates immediately. Create them, test them, archive and then delete them to avoid clutter.
