Resending Emails to Single Guests
Sometimes an email gets lost. It goes to spam, the guest accidentally deletes it, or their email server temporarily rejects it. Other times, a guest simply asks, "Can you send that again?"
Check-in Pax makes it easy to resend an email to a single guest without affecting anyone else.
When to resend an email
| Scenario | Should you resend? |
|---|---|
Guest says they never received the invitation | ✅ Yes |
Email bounced due to a temporary issue (Soft Bounce) | ✅ Yes |
Guest accidentally deleted the email | ✅ Yes |
Guest's email address was corrected | ✅ Yes (after updating their profile, use guest list method) |
Guest is requesting a second copy for a plus-one | ✅ Yes |
Guest marked the email as spam by mistake | ✅ Yes (ask them to whitelist your sender address first) |
Email hard bounced because address is invalid | ❌ No (fix the address first) |
Guest unsubscribed from all emails | ❌ No (respect their choice) |
Two ways to resend: Choose the right method
There are two ways to resend an email, but they work differently. Choose the right method for your situation.
| Method | What it does | When to use |
|---|---|---|
Resend from email analytics | Sends the exact same email again (with the same content, same placeholders, same email address) | Only for Deferred, Soft Bounce, or Delivered emails where the content and address do not need to change |
Send from guest list | Sends a fresh email using the guest's current profile data | When you have fixed an email address or updated guest information |
Important: If you fix a guest's email address in their profile, resending from email analytics will still send to the old, incorrect address because it uses the original send data. Always use the guest list method when you have corrected any guest information.
How to choose the right method
| Situation | Recommended method | Why |
|---|---|---|
Email was Deferred (temporary delay) | Email analytics (resend) | Same email, same address – just needs a retry |
Email had a Soft Bounce (inbox full) | Email analytics (resend) | Same email, same address – temporary issue |
Guest asks for another copy (Delivered) | Email analytics (resend) | Same email, same address – quick and easy |
You fixed an incorrect email address | Guest list (send fresh) | Analytics resend would still use the old address |
You updated guest information (e.g., name) | Guest list (send fresh) | Analytics resend would use old data |
Guest unsubscribed and resubscribed | Guest list (send fresh) | Analytics resend may be blocked |
Best practice recommendation
In general, it is best to send via the guest list or create a new campaign. This ensures you are always using the most up-to-date guest information and email address.
You will furthermore have a full timeline and complete record of all sent emails in your email report.
Only use the resend from email analytics button for:
- Delivered emails where the guest simply needs another copy and no data has changed
Method 1: Resend from email analytics (limited use)
Use this method only for Deferred, Soft Bounce, or Delivered emails where no guest data has changed.
- Go to Manage Templates → Emails.
- Find the template you previously sent.
- Click the Analytics button.
- Locate the guest in the list (use the status filter if needed).
- Click the Resend button next to their record.
- Confirm the resend.
Limitation: This sends the exact same email again, including the original email address and original placeholder data. If you fixed anything in the guest's profile, those fixes will not be included.
Method 2: Send from guest list (recommended for most cases)
Use this method when you have corrected an email address, updated guest information, or simply want to ensure the freshest data.
- Go to your event's Guest List page.
- Find the guest who needs the email (use search or filters).
- Click on the guest's name to open their profile.
- Look for the Send Email button (usually an envelope icon).
- Select the active template you want to send.
- Click Send.
Advantage: This uses the guest's current profile data and email address, ensuring accuracy and adds another email record sent to the email eeport.
